Backup utility · Notice version 2026-10-16

Privacy notice

This notice describes the private backup utility operated by John Kirkwood in Ohio, United States. It does not replace the separate policies for Collinwood's customer application.

Data and permissions

The utility reads the authorizing Google account's email address to verify the intended owner. It uses Google's file-specific Drive permission to create a private backup folder and archives, read their metadata and permissions, and download their contents to verify integrity.

Archives contain application source, staging database records and referenced project photos. Those records may contain contact details and private workspace content. The utility does not request access to every file in the Google account.

Storage and use

The Google refresh credential is encrypted for the current Windows user using Windows Data Protection API. Credentials are excluded from archives and reports. Local verification files and status records include archive identifiers, timestamps, sizes and hashes. Backup archives are stored locally and in the operator's Google Drive.

The utility does not send Google credentials to Collinwood customers, use Google data for advertising, sell it, or use it to train AI models. Google data is used only to operate and verify this backup connection.

Retention and revocation

The retention policy is 30 daily copies and 12 month-end copies, with explicit holds preserved. Automated deletion is disabled; review is required before removal. Google access can be revoked through the account's connected-app settings. Revocation stops future API access but does not erase existing local or Drive copies.

The owner can manage those copies in Drive and on the Windows device, and can contact the operator about data handling.
